SCOPE AND APPLICATION
The Catholic Community Foundation of Waterloo Region Inc. (“CCFOWR”) wants you to have a positive experience on our website. We want you to know that we respect the privacy and security of our users. We collect information to provide services to you, update you on information concerning our services, and to keep you updated on the CCFOWR and any CCFOWR events, promotions, or special services. CCFOWR recognizes that we must maintain and use your information responsibly. CCFOWR has appointed a designated privacy official who has support of management and who has authority to intervene on privacy issues.
This privacy policy (“Privacy Policy”) is publicly available on our website and sets forth the privacy practices in effect at the CCFOWR. Collection, use, storage, retention, disclosure and destruction of personal information, information that can be used to identify an identifiable individual (“Personal Information”), is governed by the Personal Information Protection and Electronic Documents Act, and any other applicable legislation.
This Privacy Policy applies to Personal Information that is provided to CCFOWR from all manner of persons who interact with CCFOWR and is collected, used, or disclosed by CCFOWR via its website or otherwise.
This Privacy Policy does not impose any limits on the collection, use or disclosure of the following information by CCFOWR:
- (a) information that is publicly available, such as a person’s name, address, telephone number and email, when listed in a directory or made available through directory assistance;
- (b) publicly available business contact information, such as the name, title, business address or telephone number of an employee of an organization;
- (c) information shared publicly by a person in their user profile, such as work or educational history, social media contacts, and other profile information;
- (d) public information collected, used or disclosed in the course of journalistic activities; or
- (e) aggregate information that cannot be associated with a specific person, such as demographic statistics about CCFOWR donors, or number of visitors and average time spent on our website.
Note that CCFOWR may contain links to other websites provided and maintained exclusively by third parties which are not subject to this Privacy Policy. CCFOWR will not be liable under any circumstances for any damages whatsoever, direct, indirect, incidental, consequential, special or indirect, resulting from any use of any third party website linked to any website owned and/or operated by CCFOWR.
WHAT INFORMATION IS COLLECTED AND HOW IS IT USED?
Your Personal Information and non-personal information are collected only in the methods and for the purposes provided below, and is collected by fair and lawful means.
A. MAKING A DONATION/EVENT PURCHASES
In order to use some portions of our website, or in order to undertake certain actions (such as making a donation or purchasing an event ticket), a user must first complete a registration form or provide an email address that will require disclosure of Personal Information. Such disclosure is strictly voluntary. In order to contact CCFOWR by email, however, you must provide an email address. We will only collect and use Personal Information (such as a first and last name, physical address including a street name, telephone number, email address, etc.) when a user voluntarily provides it to us.
CCFOWR will use your Personal Information we collect for limited internal purposes that may include, but are not limited to, processing your transactions, utilization for customer service, and providing you with information concerning our services. We will retain your Personal Information only for the purpose for which it was collected.
To the extent donations are processed through a third-party service provider, our donors’ information will only be used for purposes necessary to process the donation. Our third party service provider, Paypal, is compliant with the Payment Card Industry Data Security Standard (“PCI DSS”).
We may obtain Personal Information about you from public records when conducting due diligence on non-profit organizations or conducting fraud prevention checks on donations.
B. WEBSITE USAGE
As a visitor to our website, CCFOWR servers automatically record certain non-personal identifying information, such as your Internet Protocol (“IP”) address (so as to ascertain which country you are connecting from when you visit our website), web server log files and cookies.
We collect and use this non-personal identifying information to track trends, administer our website, track user movement, and gather demographic information. We also use this non-personal information in the aggregate and to troubleshoot technical errors. We do not combine these types of non-personal identifying information with personal identifying information or combine these types of non-personal identifying information in a manner that constitutes Personal Information. We do not disclose this information to any outside vendor.
C. OTHER USE OF PERSONAL INFORMATION COLLECTED
From time to time, we may send users email messages. If you do not want to receive emails from us in the future, please click the unsubscribe button provided at the bottom of any email received.
Persons who supply us with their telephone number online will only receive telephone contact from us with information regarding orders they have placed online.
We do not partner with or have special relationships with any ad server companies.
CONSENT
For all Personal Information collected, used or disclosed that is sensitive, such as the input of financial information, we ask for your explicit and meaningful consent to collect, use, and disclose such information.
For all Personal Information provided that relates to individuals under the age of majority, meaningful consent shall be obtained from a parent or guardian. For any individual unable to provide meaningful consent themselves, meaningful consent shall be obtained from a guardian.
By using our website, you agree and consent to the following:
- (a) the use of non personal information as mentioned under the Website Usage heading above to improve and customize our content;
- (b) CCFOWR’s automatic recording of certain information, such as your IP address (so as to ascertain which country you are connecting from when you visit the website), and web server log files; and
- (c) any information provided by the monitoring of web sessions for tracking issues and for troubleshooting purposes.
DISCLOSURE OF PERSONAL INFORMATION
We will share your Personal Information with our agents, representatives, service providers and contractors only for the identified purposes for which it was collected. These service providers are authorized to use your Personal Information only to the extent necessary to serve these purposes, or as otherwise authorized by this Privacy Policy. Your Personal Information will be kept only for as long as is necessary to serve these purposes.
Should CCFOWR merge with or become an affiliate of another organization, we will ensure the confidentiality of any Personal Information involved in such transactions and provide notice before Personal Information is transferred and becomes subject to a different privacy policy.
We reserve the right to disclose your Personal Information if we are required to do so by law. Examples include circumstances such as: (1) responding to a subpoena, court order, or legal process, including to meet national security and law enforcement requirements; (2) an emergency situation requires disclosure before your permission can be obtained (e.g. in situations involving potential threats to personal safety, or; (3) we determine that disclosure is needed to protect our rights or property, or the rights or property of another person, in which case we will implement appropriate safeguards to ensure that your personal data continues to be protected.
SECURITY & RETENTION PRACTICES
CCFOWR has taken steps to ensure that any Personal Information collected is secure by electronic security systems and password protections that guard against unauthorized access. We will never rent nor share your name, your data or any of your Personal Information with any other organization.
We use industry-standard encryption technologies when transferring and receiving consumer data exchanged with our website. We have appropriate security measures in place in our physical facilities to protect against the loss, misuse or alteration of information that we have collected from you on our website.
We will retain your Personal Information only for the time it is required, for the purposes for which it was collected, or as required by law.
ACCESSING YOUR PERSONAL INFORMATION
Upon request, we will provide you with access to all information that we maintain about you, including unique identifier information (e.g., customer number or password), contact information (e.g., name, address, phone number), transaction information (e.g., dates on which you made purchases, amounts and types of purchases), and any other information that we maintain about you.
